Why You Should Automate Renewal

Simply to save you time! Some benefits include:

  • Sending out membership renewals and reminders manually is very tedious

  • Membee helps take care of the entire renewal process so you can focus on other things that matter!

  • The system consistently sends emails to your members on a schedule

  • Reminder emails help ensure memberships are paid

  • Member benefits are revoked for heavily delinquent members

  • The system keeps you informed of any emails that have been sent

Don’t Take Our Word:

“We saved 3 months of chasing membership because of Membee’s automations.”

Members Can Store Their Card

Membee’s Card Vault feature allows members to store their card to automatically charge it on their renewal date, making it as easy as possible for them and for you!

  • Automatically charges their membership on their renewal date

  • Allows them to use their credit card for one-click event purchases

  • New members can add and store their card when they sign up

  • Existing members can visit their online profile to add or manage their card details

The Four Golden Automations

You can control the schedule of these automations and the email messaging sent to your members. These four automations keep the renewal process fully hands free for you:

Pre-Renewal Email

An email is sent to members ahead of time to inform them about the upcoming renewal period.

No financial changes are made.

Example:

Membership Renewal:
January 1

Pre-Renewal Email:
Sent 45 days prior (November 15)

Renewal Billing

This does most of the work for you automatically:

  • Generates a new invoice for the renewal

  • Emails the member with a link to the new invoice

Example:

Membership Renewal:
January 1

Renewal Billing Email:
Sent 31 days prior (December 1)

Reminders

If members do not pay on time, they will receive email reminders.

  • Emails the member with a link to the invoice

  • Tailor your emails per reminder

  • Paid members will not receive these reminders

Example:

Membership Renewal:
January 1

Reminder Email:
Sent 7 days past due (January 8)
Sent 30 days past due (January 31)
Sent 60 days past due (March 2)

Cancellation

The member has been receiving member benefits to date, and their benefits should be revoked.

  • Changes their status to dropped/lapsed

  • Revokes member login

  • Writes off outstanding invoices

  • Removes them from the member directory

  • Emails the member to inform them

  • Membee offers options for the member to reinstate

Example:

Membership Renewal:
January 1

Cancellation Email:
Sent 90 days past due (April 1)

Notifications to Keep You Informed

Every Monday, Membee will send two emails for any automations that have any activity to report:

  • Recap: This email includes a report of any member who received an email in the previous week

  • Preview: This email provides a report of any member who will receive an email in the following week
