Simply put, you are subscribing to a service where ALL the features are there for you to use! Not all organizations use all the features, but they’re all available so you pick and choose the features that best fit your staff and members.
Unlimited Data & Records
When we say “a simple, flat monthly subscription fee”, we mean it. We firmly believe that “the more you play, the more you pay” pricing models inhibit your organization’s ability to succeed. We don’t care or monitor the number of records you have and we don’t take a chunk of each transaction you or a member performs.
The First Month is Free!
You would think that your free period begins the first full business day after completing the Sign up form but we do things a little differently. Implementation of either Membee Complete or Membee does begin the instant you fill in that form. We don’t start the clock ticking on your free month until the day we actually import you member data which is ways into the implementation process.
Unlimited Support
Support might be Membee Complete and Membee’s best feature! Innovative knowledge tools are built right into the system that will walk you through how to get something done. In addition, videos, step by step instructions, tips, tricks, and best practices are all located in our “Help From the Hive” knowledge base, accessible at any time! Sometimes, you just need to talk to a human which is easy to do through built-in chat (very popular), email, or even a phone call. We track every question so we can monitor our response times and the quality of our answers. Help is just a click away!
All Upgrades & Major Enhancements
This is no cost or installation steps needed when new features are released. It varies year to year but in a typical year, we release 8-10 major updates to Membee Complete and Membee each year. Thee is an ongoing process of assessing, designing, building, testing, documenting, and releasing the features that will help the most members and admin users. All we need you to do is watch your inbox or the announcements when you login for alerts announcing major new features.
Full Site Security
All member and transaction data is transmitted on Secured Socket Layer (SSL). In the case of Membee Complete subscriptions, you entire site is provided over SSL There is not additional cost for the installation and maintenance of the necessary SSL certifications. Site visitors can visit your site with confidence knowing that the information they provide and the transactions they perform are fully secured.
Implementation Process
No matter which subscription you choose, an Implementation Coordinator (IC) is assigned to you and with your input, completes the system setup tasks for you. We want you focused achieving results, not completing setup tasks. There is no cost for the services of the IC.

How do I determine the # of admin users I need?
Generally, you don’t need a user subscription (login) for each staff member or volunteer. Multiple admin users tend to make sense where an organization has different people performing membership administration, event management, financial functions (invoicing, payments, and reporting), and website content management in the case of a Membee Complete subscription. One of Membee’s most popular features is the ability for users view member information by organizing and prioritizing member information they way they like it. This customization is stored as a part of subscription which means users sharing a subscription also have to compromise on how member information is displayed to them. Think about which roles your people perform and how within those roles their productivity improves because they can organize and prioritize member information before deciding on the number of subscriptions needed.
Can My Admin Users Share an Admin User Login?
Technically, yes. If two people are sharing a user login then the system will only allow one of the admin users to be logged in at a time. This shared admin username is an email address and the system will route any important communication to this email address. Any users sharing a login will need access to emails received at this email address. Any interaction with Membee’s outstanding support team will be routed though one of the people sharing the login. If multiple users will be using the system regularly and need their own support, we recommend they have their own user subscription.
Do my members need a subscription?
No! Members visiting your site looking to register for an event at member rates, update their member profile, or even access “members only” content on your site don’t need a subscription. You control unlimited member usernames and password completely from within the system.
Save 10% On Your Subscription!
By default, your subscription is billed to your credit card on a monthly basis. Your subscription will transact once every month for the number of admin users you have upon renewal. By moving to an annual subscription, we hit your credit card once a year for the entire year’s subscription amount and as a result, you save 10% of your total subscription cost.
Can I increase or reduce the # of subscribed users?
Yes, at any time! You can manage your subscriptions in the system. In a monthly subscription, when you add or remove a subscriber from your account, Membee will automatically update your subscription costs for the next billing period (the next month). Added subscribers gain access immediately. If you are taking advantage of the costs savings of an annual subscription, adding users incurs an immediate prorated charge for the remainder of the annual period. Removing subscribers in an annual subscription sees the changes reflected the next annual period.
Billing Method
We charge your credit card for ongoing admin user subscription fees. We accept VISA and MasterCard. We’ll contact you to gather your credit card information after you start the implementation process. Please note that your credit card information is fully secured by our payment gateway provider, Worldline.
What if I Need a Paper Invoice?
We can set that up for you but there is a difference in cost to administrate. This administrative fee is 10% of your total monthly subscription cost, 5% is to us for the administrative overhead, and 5% to our annual contribution to the Pollinator Partnership. You will receive your monthly invoice in advance via email and you have the option to pay by cheque or online through your account. Looking to pay annually? We’ll waive the administrative fee for you!
Try Before We Buy?
You bet! Since the first 30 days of your subscription is free, this creates a great opportunity to try things out while you work with one of our Implementation Coordinators to get everything set up and automated. This “evaluation” is much more relevant because you’re working with your data and your website. If you like what you see, you just keep going and if you don’t, just let us know in that first 30 days without cost.
What If I’m a Start Up?
Membee Complete and Membee are best suited for organizations that been around for a while and are financially viable. They have been acquiring and trying to retain members for a year or two, and are looking to move to the next level by perfecting and automating their existing processes. They know what works and what doesn’t when it comes to building member relationships. If you have been acquiring members for less than a year, Membee Complete or Membee are not likely to be the best tool to test your business model. While it is very powerful and not trivial to deploy (90 days on average to implement), it might be better to use another basic tool to get up and going so you can iterate quickly to see if your new organization gains traction. If the traction is there then that is the ideal point in your evolution for Membee Complete or Membee to help you the most. Given the inherent risk of starting a new organization, if you have been acquiring members for less than a year, you will be required to pay for the first year of your Membee Complete subscription or the first 6 months of your Membee subscription in advance.
What Happens to My Data & Site Content if I Cancel?
Everything is returned to you. Full stop. Every bit (data bit that is) of member, non-member, transactions data that you initially provided plus all the data you created in the system is returned to you. This data is returned to you in XML format upon cancellation so you can open it in just about any tool. In the case of Membee Complete, you also received back all post types (page content, blog post content, portfolio posts, etc.) in XML format as well as all media files (images and videos) in a Zip file. All of you information is then provided to you on a secured cloud server so you can download it. All we need is 5 business days notice so that we can make the transition as smooth as possible for you.
